Role Overview:

As an Administrative Assistant, you will be responsible for providing comprehensive administrative support to the school office, ensuring the smooth day-to-day operation of administrative processes. From managing correspondence and maintaining records to assisting with events and liaising with parents/guardians, you will play a crucial role in helping to create a positive and efficient working environment for staff and visitors alike.

Key Responsibilities:

  • Manage incoming and outgoing correspondence, including email, phone calls, and mail, and ensure that queries are responded to promptly and efficiently.
  • Maintain accurate and up-to-date records, including student attendance, staff absences, and other administrative data, using school management systems and databases.
  • Provide administrative support for school events and activities, including scheduling appointments, coordinating logistics, and preparing materials.
  • Assist with the coordination of parent/guardian communication, including distributing newsletters, notices, and other relevant information.
  • Liaise with external stakeholders, including suppliers, contractors, and visitors, and ensure that their needs are met during their time at the school.
  • Support the administrative needs of staff and senior leadership, including diary management, meeting coordination, and general administrative tasks as required.

Requirements:

  • Previous experience in an administrative role, preferably within an educational setting, although not essential.
  • Strong organizational and time management skills, with the ability to prioritize tasks and work efficiently in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to liaise effectively with a wide range of stakeholders, including staff, students, parents/guardians, and external contacts.
  • Proficiency in Microsoft Office suite and experience with school management systems or databases would be advantageous.
  • A proactive and flexible approach to work, with a willingness to take on new tasks and adapt to changing priorities as needed.
